Project Manager dashboard with KPIs and charts
Installation

Install & open the dashboard

Upload the plugin, activate it, and a first board is created automatically. Open Project Manager in wp-admin for a site-wide or per-project overview.

  1. Upload to wp-content/plugins/lucrativeit-project-manager-with-feedback-kanban-boards-tasks/ or install via ZIP upload.
  2. Activate LucrativeIT Project Manager with Feedback from the Plugins screen.
  3. Open the new Project Manager menu — the dashboard shows KPIs, charts, and recent activity.
  4. Use the Scope dropdown to switch between All projects and a single project.
  5. Customize roles, email, and the public feedback widget under Settings.

KPI cards cover Total, Open, Completed, Overdue, High priority, and Unassigned. Charts break work down by status, priority, and project. Pin boards from Manage Project for sidebar access.

Manage Project grid listing all projects
Projects

Manage every project from one grid

Open Project Manager → Manage Project to search, pin, edit, and open boards. There is no plugin-imposed limit on how many projects you can create.

  • Search by name, details, or URL.
  • Cards show description, task count, and how many live URLs are attached.
  • Star / pin a project to keep it in the sidebar.
  • View, Edit, Widget, Open Board — jump to the overview, settings, embed script, or kanban.
Step 1 project details form with title, description, and URLs
Projects

Create a project — Step 1

Click + New Project or + Add Project. Feedback is matched by Project URL, so add every live site first.

  1. Project Title — short name shown on cards, boards, and filters.
  2. Project Details — rich description (visual or HTML code).
  3. Project URLs — one or more live origins, e.g. https://example.com. Submissions from a matching page URL become tasks on this board.
  4. Board color — brand the project card and sidebar dot.
  5. Click Create Project.
Copy feedback embed script after creating a project
Feedback embed

Step 2 — Copy the feedback script

After create, you get a success banner and a ready-to-paste embed snippet. Submissions from matching URLs appear as tasks on this project board.

  • Same WordPress site: Enable the floating button under Settings → Feedback widget. No theme code is required.
  • Another WordPress site: Click Copy Script and paste it in the header (header/footer plugin or child theme) before </head>.
  • Non-WordPress / static: Paste the script in <head> or before </body>.
  • The script loads JavaScript and CSS only from this WordPress install — not from a third-party CDN.

You can copy the script again later from the project card Widget button or the project sidebar menu.

Boards

Feedback lands on the kanban board

Open a project with Open Board. Visitor reports are created as tasks with type Feedback, a screenshot thumbnail, and the page they came from.

  • Switch Kanban / List in the project header.
  • Drag cards between columns; collapse columns or add new ones with + Add Column.
  • Filter by status, type, priority, assignee, due date, and search.
  • + New Task opens the create drawer on this board.

Each card can show type, screenshot, due date, priority, and assignee avatar.

New task drawer with title, description, type, priority, status, assignee, and due date
Tasks

Create a task with status, assignee & due date

From Manage Task, a project board, or My Tasks, click + New Task. The drawer captures the full issue in one place.

  • Title and Description — WordPress visual editor plus Add media.
  • Attachments — files stored on your site.
  • Type — Task, Bug, Feedback, Story, Epic (or custom types under Settings).
  • Priority — Low, Medium, High, Urgent.
  • Status — the board column this card starts in.
  • Assignee and Due date.

Open any task later for threaded comments and an activity log of status, priority, and assignee changes.

Manage Task list view with columns for ID, title, project, type, priority, status, assignee, and due date
Tasks

Manage Task — list view

Project Manager → Manage Task browses every issue across projects in a compact table.

  • Columns: ID, title, project, type, priority, status, assignee, due date, updated.
  • Filters for project, status, type, priority, assignee, due range, and title search.
  • Toggle List / Kanban without leaving the screen.

My Tasks is the same idea, limited to items assigned to the logged-in user.

Manage Task kanban view with To Do, In Progress, Done, and Backlog columns
Tasks

Manage Task — kanban view

The same cross-project queue as a board. Drag cards between To Do, In Progress, Done, and any other columns your projects use.

  • Cards show type, project name, title, due date, priority, and assignee.
  • Column counts update as you move work.
  • Use Filters when you need one project, one person, or one priority.
Floating Feedback button on the public WordPress site
Visual feedback

Floating Feedback button on your site

Visitors and clients click a floating Feedback button on the public site. No WordPress account is required. Logged-out guests can still submit.

  • Enable it under Settings → Feedback widget (on by default).
  • Color, position (bottom right or left), and button text are configurable.
  • Place an inline trigger anywhere with [lucrpm_feedback_button].
  • Reports are matched to a project by the page URL you saved on that project.
Send Feedback modal with screenshot annotation tools
Visual feedback

Annotate a screenshot, then send

The widget captures the current page in the browser (locally bundled html2canvas — nothing is sent to a third-party screenshot service) and lets the reporter mark it up.

  • Tools: select, text, line, arrow, and box, plus a color palette, Delete, and Undo.
  • Retake and zoom if the capture needs another pass.
  • Description is required; name is optional.
  • The site also stores page URL, browser user agent, and the annotated image in your Media / uploads directory.
Feedback widget appearance settings
Settings

Feedback widget appearance

Under Settings → Feedback widget, control the button on this WordPress site. For other sites, copy the embed script from the project (see Step 2).

  • Enable / disable the floating button on the public site.
  • Button color — six presets (purple, blue, teal, orange, red, navy).
  • Position — bottom right or bottom left.
  • Button text — default Feedback.

Click Save widget settings to apply.

Email and SMTP notification settings
Email delivery

Gmail or custom SMTP

WordPress default mail often fails or lands in spam. Configure outgoing mail under Settings → Email so new-task, comment, and assignment alerts arrive.

  • Gmail: enable 2-Step Verification, create an App Password for Mail, then enter the Gmail address and app password (host smtp.gmail.com, port 587, TLS).
  • Custom SMTP: host, port, username, password, encryption (TLS / SSL / none), and From email — Mailgun, SendGrid, cPanel, Amazon SES, or your host.
  • Leave the password blank to keep a value already saved.

Reply-by-email for task comments is a separate Comment Email Pro setup. Mail credentials can only be changed by administrators (manage_options).

Departments settings list
Settings

Departments

Define team names under Settings → Departments. They appear on the Staff screen and when you assign a department to a team member.

  • Built-in starters: Development, Design, Marketing, Operations, Support, Management.
  • Rename, remove, or add rows, then save.
  • Staff stay WordPress Subscribers; department is plugin metadata, not a WP role.
Roles and permissions matrix for PM Admin, Project Manager, and Team Member
Access control

Roles & permissions

These are Project Manager roles, not WordPress roles. Staff created in the plugin are Subscribers and use a PM role for module access. Non-admins only see projects they belong to.

  • PM Admin — all modules, including Settings.
  • Project Manager — dashboard, projects, tasks, my tasks, reports, milestones, time tracking (Settings off by default).
  • Team Member — dashboard, my tasks, and time tracking; cannot manage all projects or global settings.
  • Add custom roles, rename, remove, and tick modules: Dashboard, Manage Projects, Manage Tasks, My Tasks, Staff, Settings, Reports, Milestones, Time Tracking.
Default board columns and per-project column editor
Settings

Board columns

Under Settings → Board columns, set the statuses every new project inherits, then optionally override columns on one project.

  • Default board columns — name, color, Done checkbox, reorder, add, or remove. Defaults: To Do, In Progress, Done.
  • Done column marks completed work for dashboard KPIs and filters.
  • Per-project columns — e.g. add Backlog or In Review on “My First Project” without changing other boards.

Task types (Bug, Task, Story, Epic, Feedback, plus custom) live on the neighboring Task types tab.

Pro Add-on

LucrativeIT Project Manager Pro

Optional add-on for agencies and freelancers. Activate after the free plugin to unlock advanced reports, milestones, time tracking, and an enhanced feedback widget. Line illustrations are temporary — replace with real screenshots in images/ when ready.

Line artwork: install and activate Pro plugin

Pro

Install Pro on top of the free plugin

Pro extends the same Project Manager menu. Keep the free plugin active — Pro will not run alone.

  1. Install and activate LucrativeIT Project Manager with Feedback (free).
  2. Upload and activate LucrativeIT Project Manager Pro.
  3. Open Project Manager — new sidebar items appear: Reports Pro, Milestones, and Time Tracking.
  4. Grant Reports / Milestones / Time Tracking on each role under Settings → Roles if needed.
Line artwork: Reports Pro charts and KPI cards

Temporary artwork · replace with pro-reports.png

Pro · Reports

Reports Pro — analytics that go beyond the dashboard

Open Project Manager → Reports Pro for filtered analytics across one project or the whole portfolio.

  • Filters — date range and project scope.
  • Summary KPIs — total, open, done, overdue, high priority, unassigned, from feedback, completion rate, and average cycle time.
  • Breakdowns — charts by status, priority, project, type, and department.
  • Team workload — open, done, and overdue counts per person.
  • Weekly throughput and an activity timeline.
  • CSV export for clients or spreadsheets.
Line artwork: Milestones board columns

Temporary artwork · replace with pro-milestones.png

Pro · Milestones

Milestones — plan releases on the board

Group work into named milestones with due dates and progress. Useful for sprints, client deliverables, or launch checklists.

  • Open Project Manager → Milestones (or filter a project board by milestone).
  • Create milestones with due date, status, and tracked progress.
  • Board layout: Backlog plus one column per milestone.
  • Add or move tasks onto a milestone; filter the main kanban by milestone when focusing a release.
Line artwork: Time tracking clock and timesheet

Temporary artwork · replace with pro-time-tracking.png

Pro · Time Tracking

Time Tracking — timers, timesheets, and hour reports

Capture billable and internal hours without leaving WordPress. Open Project Manager → Time Tracking.

  • Start / stop timers from the global bar or on a task.
  • Log time manually — project, optional task, description, and duration.
  • Weekly timesheets for each team member.
  • Hour reports by project, user, client, and task.
  • Set a client name on the project (Pro field) so client-level hour reports stay clear.
Line artwork: Pro feedback form modal

Temporary artwork · replace with pro-feedback-widget.png

Pro · Feedback

Pro feedback widget — form first, richer capture

With Pro active, the public widget (site button and embed) uses a form-first flow. Reporters can attach a screenshot, an upload, a short screen video, or a combination.

  1. Open the modal — describe the issue, name, and email.
  2. Take screenshot — full-screen annotate stage (select/move, text, line, arrow, box). Done returns the shot to the form.
  3. Upload — PNG or JPEG image from disk.
  4. Record video — screen capture with optional microphone (desktop Chrome, Edge, Firefox, or Safari 14+ over HTTPS).
  5. Submit — attachments are saved on the new Feedback task.

Video limits: 45 seconds and 10 MB. The page stays locked while recording so accidental navigation cannot wipe the form.

Pro · Feedback

Floating annotate tools

Pro replaces the basic markup UI with a floating, Canva-style toolbar so clients can mark the exact bug or request before sending.

  • Select, move, and resize annotations.
  • Add text, lines, arrows, and boxes.
  • Finish with Done to return to the feedback form with the annotated image attached.
  • Works with both captured screenshots and uploaded images.
Line artwork: screen video recording bar

Temporary artwork · replace with pro-feedback-video.png

Pro · Feedback

Record a short screen video

When a static screenshot is not enough, reporters record the page interaction and attach the clip to the same task.

  • Floating record bar with timer, mic on/off, and Stop.
  • Max 45 seconds / 10 MB; preview before submit.
  • Formats: MP4 (Safari/macOS) or WebM (Chrome, Edge, Firefox on Windows/Ubuntu).
  • Requires a secure context (HTTPS or localhost).

Frequently Asked Questions

Common questions about Project Manager installation, feedback, and team access.

What are the server requirements?

LucrativeIT Project Manager requires WordPress 6.2+ and PHP 7.4+. No external account, API key, or SaaS subscription is required for the free features.

Is this a full project manager, or just a feedback form?

Both. It ships kanban boards, projects, tasks with types and priorities, assignees, due dates, attachments, threaded comments, and an activity log. The visual feedback widget is an additional way for tasks to be created.

Where is my data stored?

In dedicated custom database tables on your WordPress server (prefix lucrpm_). The plugin does not use custom post types, so posts, pages, and the media library stay untouched. Nothing is sent to LucrativeIT unless you configure SMTP or another service yourself.

How do I collect feedback from this WordPress site?

Add the live site URL on the project, then enable Settings → Feedback widget. Visitors click the floating button, annotate a screenshot, and the report is filed as a task on the matching project board.

Can I collect feedback from a site that does not run WordPress?

Yes. After you create a project (or from the card Widget button), copy the embed script and paste it into that site’s HTML. Feedback from matching page URLs is added as tasks on that project. Only install the embed on sites you control or have permission to modify.

How does the plugin know which project a report belongs to?

By Project URL. Add the live origin on the project first. Guest submissions that use a project key are bound to that key’s project and cannot target a different project_id.

Does screenshot capture send the page to a third-party service?

No. Screenshots are rendered in the visitor’s browser with a locally bundled copy of html2canvas and uploaded to your own site’s uploads directory.

Can customers submit feedback without a WordPress account?

Yes. The floating button works for logged-out visitors. Submissions are validated against the project URL and rate limited. You can turn the widget off entirely in Settings.

How do I give my team access without making them administrators?

Add staff under Staff. They are created as WordPress Subscribers and given a plugin-scoped role (PM Admin, Project Manager, Team Member, or a custom role). Non-administrators only see the projects they belong to.

Why do I need SMTP?

Configure Gmail or custom SMTP under Settings → Email so alerts for new tasks, comments, and assignments are delivered reliably. PHP mail on many hosts is unreliable. Reply-by-email for comments is part of Comment Email Pro, not the free SMTP tab.

Does it work with any theme?

Yes. The admin app is a self-contained screen in wp-admin, and the front-end feedback button is injected in the footer. No page builder or theme template changes are required.

Will my data be deleted if I uninstall?

No. Projects, tasks, and feedback are kept by default so you can reinstall without losing work. To drop tables and options on delete, add this to wp-config.php first:

define( 'LUCRPM_REMOVE_DATA_ON_UNINSTALL', true );

What is the difference between free and Pro?

The free plugin includes the dashboard, projects, kanban/list boards, tasks, basic feedback widget (screenshot annotate), embed script, staff, roles, departments, SMTP, and settings.

The optional LucrativeIT Project Manager Pro add-on unlocks Reports Pro, Milestones, Time Tracking (timers, timesheets, hour reports, client name on projects), and the Pro feedback widget (form-first flow, floating annotate tools, image upload, and screen video up to 45 seconds / 10 MB). See the Pro section above and wptaskhub.lucrativeit.com for licensing.

Comment Email Pro (reply to task comments by email) is a related separate plugin, not included in the main Pro package.

What does the Pro feedback widget add?

With Pro active, reporters open a form first, then can take a screenshot with floating annotate tools, upload a PNG/JPEG, and/or record a short screen video (45 seconds, 10 MB, HTTPS required on desktop browsers). Free keeps the simpler capture-and-annotate flow.

How many projects or tasks can I create?

There is no limit imposed by the plugin.
